![]() ![]() Review invoices for accuracy and process for payment track division and/or department budget and allocate/resolve invoice amounts with budget and reconcile monthly division and/or department credit card statements including managing and tracking receipts.Assist director or manager with achieving division and/or department goals by tracking deadlines and communicating status reports.Establish, manage and review complex appointment(s), calendar(s) and schedule(s) for division and/or department prioritize and coordinate director's or manager's daily/weekly/monthly complex schedule, task lists and deadlines and communicate upcoming events, commitments, priorities and responsibilities.Review of division and/or department emails as needed and respond accordingly.Review, process and distribute division and/or department incoming and outgoing mail prepare and/or coordinate mailings of all sizes.Maintain and orders division and/or department supplies as needed (i.e., TSR, letterhead, tissues, business cards).Track and manage general deadlines for director or manager, division and/or department, contracts and purchase orders.Plan, organize and coordinate general and/or reoccurring meetings and events for various group sizes including, but not limited to arranging space, inviting attendees, ordering refreshments, ensuring technological support.Maintain general paper and electronic filing system (i.e., documents, records, correspondences) for director or manager, division and/or department.Assess, track, monitor and/or process multiple incoming forms and/or time sensitive documents and insure successful response, review, signature, and/or other appropriate action.Analyze daily activities, issues, and the needs/inquiries of call/visitors and exercise independent, decision, discretion, judgment and selection of appropriate representatives to respond.Greet, direct and assess visitors for priority and access to division and/or department staff and/or director or manager.Answer phones, assess nature of call and process calls and initiate calls as needed on behalf of supervisor, division and/or department to internal and external contacts.Ensure maintenance of general office equipment.Prepare advanced Service Authority reports and format and publish SOPs in PolicyTech.Prepare PowerPoint presentations including, but not limited to graphs and charts.Perform data entry (i.e., work orders and requisitions) into Service Authority, division and/or department specific equipment and manipulates databases.Take proactive steps to relieve the administrative burden of those he or she supports.Type, compose, proofread, edit, track, copy and respond to complex correspondences, reports, checklists, approval forms and emails respond to director's or manager's emails as needed.
